A hand with the inventory
CrateRill support.
Help with finding a box, using its label and keeping a copy of your inventory.
Boxes, photos and search
I cannot find a box in search.
Clear the room and Open First filters, then search for the box number, a word from its title, a listed item or a note. Check whether the record is on this device. CrateRill does not search other people’s inventories or a developer server.
How do I enter quantities?
Enter one item per line. For example, 2 x Ceramic mugs records a quantity of two. You can also use 2 × Ceramic mugs. Review the saved contents to check that the quantity and item name are what you intended.
A photo or camera is unavailable.
In a box’s editor, use Choose a photo for the system photo picker or Take a photo for optional camera capture. If an image will not load, select it again or try a smaller copy. A photo stored with a cloud provider may need a connection before iOS can make it available to the picker.
If taking a photo or QR scanning cannot use the camera, check CrateRill’s camera permission in iOS Settings if that option is present. You can choose an existing photo instead of taking one and use a box number or search instead of scanning. No camera permission is needed to type an inventory.
I reached the free box limit.
Three boxes can be created without Unlimited. The optional one-time Unlimited purchase removes that free capacity limit. Existing box records, search, photos, QR codes, PDF exports, backups and restores stay accessible without it.
Local QR codes and printable labels
A QR code says the box is unknown.
A CrateRill QR code contains a box identifier, not its contents or a web link to an online inventory. It can resolve only where the matching inventory record is present. On another device, manually import the matching CrateRill backup first.
Check that the label belongs to the current inventory and that the box has not been deleted. Search by its title or contents if an import has changed its visible number. Reprinting labels from the current inventory avoids an outdated number on paper.
The camera does not read a label.
Give the printed QR code good light and enough space in the camera view. Check that the print is clear and the code is not folded, cropped or covered. Search by the box number instead if scanning is unavailable. CrateRill is intended to recognize its own box identifiers.
How should I print the PDF?
Open Toolkit and choose Print box labels, then select the Letter or A4 paper option that matches your printer. Inspect the PDF and print preview before printing. Use 100% or Actual Size, check the printer’s paper size, and make sure margins and QR codes are not cropped. Print a test page first when using a new printer or label stock. Inventory PDF exports a room-by-room text list; photos are included in JSON backups, rather than in the PDF.
Printable labels are not a live link between devices. Changing a box’s room, title or number does not update a label already printed.
Backups, manual sharing and recovery
How do I move the inventory to another device?
- Open Toolkit and choose Export backup. The CrateRill JSON file includes saved photos.
- Use iOS sharing or Files to save or send it. Confirm that the file is available at your chosen destination.
- On the other device, open Toolkit, choose Import backup and select that file. Review and confirm the import.
This is a manual transfer, not ongoing household sync. Keep backups from both devices before combining inventories. Treat the file as private: it may list your belongings and locations.
What happens when I import a backup twice?
Ordinary import adds new box identifiers and keeps existing records with the same identifiers. It does not overwrite the current version of those records with an older backup. Imported boxes may receive new visible numbers, so check the result and reprint labels if needed.
If the current saved inventory is unreadable, the recovery flow uses the selected backup to recover it rather than perform an ordinary merge. Read the confirmation carefully and keep the original recovery file.
My backup is rejected or the saved file needs recovery.
Select an unedited CrateRill JSON backup. A file from another app, an incomplete file or a newer unsupported format may be rejected. Keep the original file. If recovery is required, choose Export original from the recovery notice or Export original file in Toolkit before importing a replacement backup. If Restore previous save is offered, it can recover the last readable local save, but it cannot recover changes after that save. Read the recovery confirmation before proceeding. Preserved originals remain available to export from Toolkit.
Do not delete or reinstall the app as a first troubleshooting step. That can remove your local inventory. Contact support if you cannot safely export or recover it.
What does deleting a box remove?
Deletion removes that box from the working inventory. An earlier copy may remain in previous-save files, recovery files, exported backups or operating-system backups. Remove exported copies separately if you do not want to keep them. Export first if you may need that record again.
Unlimited purchase and restore
Unlimited is missing after a purchase or on another device.
- Check that App Store purchases use the Apple Account that bought Unlimited.
- Connect to the internet, open the Unlimited offer from Toolkit and use Restore Purchases. Apple may ask you to sign in.
- Check your Apple purchase history if no purchase is found, before buying again.
This restores capacity access, not your inventory files. Restore those separately from a manual backup or operating-system backup. An unverified, pending, cancelled or revoked purchase does not grant Unlimited. Existing records remain accessible.
A purchase is pending, unavailable or interrupted.
Wait for Apple to confirm a pending purchase. Avoid repeatedly starting another purchase. If the product or its price is unavailable, check your internet connection and try again later. After an interrupted purchase, try Restore Purchases before another payment.
If iOS blocks purchases, check the App Store account and purchase restrictions with the person who manages the device. Your inventory does not require purchasing to remain readable.
